What is typically included in an Associate Trainer contract?  If work is booked, is it normal to get paid even if the course is cancelled? Typically what is best practice out there?

Hi Pat, your best long term option is to get yourself I front of the client so my approach was to charge a 50% fee if a session was cancelled but this was not invoiced if the session or another session was re-booked. This worked for me and created some excellent clients, cheers and good luck.

Obviously it all depends on what you have signed up for- there is no standard contract.

Many consultancies work on the basis that a course that is rebooked for a later date isn't a cancellation but a postponement.....which is all very well but the date is now not used and may not be fillable. Getting paid for delivering at some indeterminate time in the future isn't the same as getting paid now.

My approach is that a date is booked and if the event is moved then that constitutes a cancellation of the date....obviously if I'm only one associate of many and we are all on the same contract that won't stand up on its own.

Hi

This is one of my bugbears. 

I think a sliding scale of cancellation fee is fair.  This could be:

50% of fee if cancelled more than two weeks before the date

75% 1-2 weeks before

100% with less than a week's notice.

In addition, trainers often book trains and/or hotels as cheap as they can but that means they can't be refunded if the course is cancelled.  I always charge the client if that is the case, even if the course is some weeks off.

On the subject of contracts I have a couple of clients (training providers) who say they will charge ME if I cancel at short notice (even if this is because of illness) as they say their clients (the end customer) may charge them if venues have been booked, cover staff rostered on and so on.  I said I would need to see proof that this was the case before I would even consider paying to be ill!!!
